10 Ways to Use AI at Work in 2025

10 Ways to Use AI at Work in 2025

AI isn’t just for tech giants anymore – it’s rapidly changing the workplace for organizations of all size, across the globe. With advancements in technology, tools powered by artificial intelligence have become increasingly accessible to small businesses and individuals. AI tools are empowering businesses and teams both small and large to work smarter, not harder. Whether you’re a small business owner or a corporate professional, AI can revolutionize the way you work by streamlining processes, boosting productivity, and delivering actionable insights.

Automated Repetitive Tasks

AI-powered tools like Zapier can handle time-consuming tasks such as data entry, email sorting, or report generation. For example, a small business owner could use AI to automatically transfer customer inquiries from a contact form into a spreadsheet, saving hours of manual input each week. By automating these tasks, you free up time to focus on strategic priorities.

It’s important to remember that you don’t need AI to automate repetitive tasks, but many AI tools make it easier to do – especially with minimal/no coding knowledge.

Improve Marketing Strategies

AI-powered tools revolutionize marketing strategies by enabling professionals to analyze vast amounts of data quickly and uncover actionable insights that would be time-consuming or impossible to identify manually. These tools can process customer behavior, preferences, and trends in real time, allowing marketers to refine targeting, optimize campaigns, and personalize content effectively. Additionally, AI facilitates rapid experimentation by testing multiple ideas, messages, and visuals through simulations or small-scale campaigns, minimizing the need for large initial investments. This iterative approach empowers marketers to identify what works best, adapt strategies dynamically, and achieve better ROI with greater efficiency.

Elevate Content Creation

AI tools can assist with generating ideas, conducting keyword research, analyzing data, and identifying trends. Blogging, social media posts, and video scripts can be created more efficiently using AI tools like Grammarly and Copy.ai. These tools help you maintain quality while reducing the time spent on content production. Many generative AI tools, like ChatGPT and Google Gemini, are also great for brainstorming content ideas, creating outlines and proofreading.

However, the key to using AI effectively is “keeping a human in the loop” and maintaining oversight. While AI excels at processing data, it lacks the ability to truly understand brand voice, cultural nuances, or the emotional connection that great content fosters. By treating AI as a collaborator rather than a creator, marketers can combine its efficiency with their creativity and expertise. This ensures the content remains authentic and impactful, while still benefiting from AI’s ability to save time.

Strengthen Cybersecurity

For small businesses and large corporations alike, AI can enhance your security posture without requiring extensive in-house expertise. Frameworks like Cloudflare’s Defensive AI and tools like Symantec’s Endpoint Protection identify and neutralize cyber threats before they cause harm. Odds are the devices and apps you’re already using in your everyday life and at work are already using AI to strengthen their security.

Enhance Customer Support

AI-driven chatbots provide 24/7 customer support, answering common queries and resolving issues in real-time. For instance, businesses can use chatbots to address inquiries about product availability or order tracking instantly, even outside regular working hours, improving customer satisfaction and reducing workload for staff. But it’s important to remember chatbots are far from perfect and when poorly implemented can cause customers a lot of frustration.

Streamline Hiring Processes

Many recruiting and application tracking software (ATS) platforms use AI to screen resumes, schedule interviews, and assess candidate skills. These tools can help you find the right talent faster and reduce bias in the hiring process.

While AI can be helpful in streamlining the hiring process, it’s critical to avoid solely relying on artificial intelligence to make hiring and firing decisions. And some candidates might like the ability to opt-out of AI-powered hiring processes (this is something I’ve seeing more and more on job listings/online applications).

Boost Sales with AI Analytics

AI analytics can help businesses identify potential leads, predict buying behavior, and recommend upselling opportunities by analyzing customer data. This empowers sales teams to focus on high-value prospects, improving conversion rates and customer relationships. AI-driven CRMs like HubSpot and Salesforce Einstein analyze customer data to identify opportunities, anticipate behavior, and recommend actions. This gives sales teams more time to do what they do best – sell!

Improve Team Collaboration

Tools like Microsoft Teams AI Note Taker and Slack AI make team communication more efficient by summarizing meeting notes, organizing key discussion points, and generating actionable to-do lists from conversations. Instead of focusing on taking notes, meeting organizers and participates are about to engagement better.

Optimize Inventory Management

For retail and ecommerce businesses, AI tools offer predictive analytics to forecast demand, track inventory levels, and minimize stockouts or overstock issues. This ensures operational efficiency and better customer satisfaction. AI tools designed for ecommerce, like  Shopify Magic can also help with things like product descriptions, images and more.

Simplify Financial Management

AI-powered platforms can automate expense tracking, invoice generation, and financial reporting. By providing real-time insights and ensuring accuracy, these tools enable business owners to make informed financial decisions with ease.

Many accounting platforms are introducing AI accounting assistances like Inuit Assist by QuickBooks. The affordability of these tools is empowering small business owners to spend less time on bookkeeping and more time doing what they love.

Caveats to Using AI at Work

It’s important to “keep humans in the loop” and avoid relying on generative AI tools for your “final product” – whether it’s an email to a coworker or a blog post for your company. As a best practice, I recommend not copying content verbatim from tools like ChatGPT or handing over complete autotomy to an AI.

For content creation, having your tool of choice open and paraphrasing content from responses into your word processor (after numerous edits and refinements within the AI tool) is probably the best way to go. This will help ensure your content retains your natural tone while still enjoying a productivity boost. Or in the case of automation, it’s probably best to include steps in the process for a human to critique and correct AI. Incredible advances in AI technology are spawning great tools, but none of them are a magic bullet. Proceed with caution and enjoy.
